Refund Policy
1. Overview
At Ulmyrex Studio, we are committed to delivering exceptional web design and UI/UX consulting services that meet and exceed our clients' expectations. We understand that every project represents a significant investment, and we take our commitment to quality seriously. This Refund Policy outlines the terms and conditions under which refunds may be issued for our professional design services.
This policy applies to all services provided by Ulmyrex Studio, including but not limited to website design, landing page design, wireframing, UI concept development, visual layout preparation, prototyping, website redesign, UX consulting, and design system creation.
By engaging our services and making a payment, you acknowledge that you have read, understood, and agreed to the terms of this Refund Policy.
2. Deposit and Payment Structure
Our standard payment structure for all projects is as follows:
- A non-refundable deposit of fifty percent (50%) of the total project fee is required before any work commences. This deposit secures your project slot in our schedule and covers the initial discovery, research, and planning phases of your project.
- The remaining fifty percent (50%) of the project fee is due upon completion of the project and before the delivery of final design files, assets, and source files.
- For Enterprise-level projects (typically exceeding $8,000 USD), milestone-based payment structures may be arranged as specified in the project proposal or statement of work (SOW).
Important: The initial 50% deposit is non-refundable under all circumstances, as it compensates Ulmyrex Studio for the time, resources, and opportunity cost dedicated to your project from the moment work begins.
3. Refund Eligibility
Refunds for the remaining balance (the 50% final payment) may be considered under the following specific circumstances:
3.1 Ulmyrex Studio Cancellation
In the rare event that Ulmyrex Studio is unable to complete a project due to circumstances within our control (e.g., staffing issues, prolonged unavailability, or inability to meet agreed-upon deliverables), we will refund the full deposit and any additional payments made. We will also deliver all work completed up to the point of cancellation at no additional charge.
3.2 Significant Deviation from Scope
If Ulmyrex Studio delivers work that significantly deviates from the agreed-upon project scope, specifications, or deliverables as outlined in the signed project proposal or SOW, and fails to remedy the deviations after being given a reasonable opportunity to do so (defined as two additional revision rounds), the Client may request a partial refund. Such refund, if approved, will be calculated proportionally based on the undelivered or non-conforming portions of the project.
3.3 Project Not Started
If the Client cancels the project before any design work has commenced (i.e., before the discovery phase begins), a refund of the deposit may be considered on a case-by-case basis, minus a 20% administrative and scheduling fee. Once the discovery phase has begun, the deposit becomes non-refundable.
4. Non-Refundable Situations
Refunds will NOT be issued in the following circumstances:
- The Client changes their mind about the project after work has commenced, including changes in business direction, budget reallocation, or personal preference changes
- The Client fails to provide timely feedback, content, assets, or approvals, resulting in project delays or stagnation
- The Client is dissatisfied with design choices that were previously approved during the review process
- The Client's expectations exceed the scope defined in the project proposal or SOW
- The Client requests services or deliverables not included in the original agreement
- The Client terminates the project after approved milestones have been completed
- Third-party issues outside of Ulmyrex Studio's control affect the Client's ability to use the delivered designs (e.g., development issues, hosting problems, third-party plugin conflicts)
- The Client provides incorrect, misleading, or incomplete information that affects the project outcome
- The project has been completed and all deliverables have been approved and/or delivered to the Client
5. Refund Schedule by Project Stage
The following table outlines the maximum potential refund amount based on the stage of project completion at the time of cancellation:

6. How to Request a Refund
If you believe you are eligible for a refund based on the criteria outlined in this policy, please follow these steps:
- Submit a written refund request via email to support@ulmyrexstudio.com within fourteen (14) calendar days of the event giving rise to the refund request
- Include your project name, project start date, a detailed description of the reason for the refund request, and any supporting documentation
- Our team will review your request and respond within seven (7) business days with a decision or a request for additional information
- If a refund is approved, the refund will be processed within fifteen (15) business days using the original payment method
All refund decisions are made at the sole discretion of Ulmyrex Studio and are final. We reserve the right to request additional information, documentation, or a conference call to fully understand the circumstances before making a refund decision.
7. Project Abandonment
If a Client becomes unresponsive and fails to provide feedback, approvals, or communication for a period of thirty (30) consecutive calendar days without prior arrangement, the project will be considered abandoned. In such cases:
- No refund will be issued for the deposit or any payments made
- The Client will be invoiced for all work completed up to the point of abandonment
- The project slot will be released and the Client's project will be archived
- To resume an abandoned project, a new deposit and potentially revised pricing may be required
8. Dispute Resolution
We are committed to resolving any disputes amicably and professionally. If you are dissatisfied with our refund decision, we encourage you to contact us directly to discuss the matter further. We are open to finding mutually agreeable solutions, which may include:
- Additional revision rounds at no extra charge to address specific concerns
- Credit toward future services with Ulmyrex Studio
- Modification of project scope or deliverables to better align with your expectations
- Partial credit or adjustment based on the specific circumstances
If a resolution cannot be reached through direct communication, disputes will be handled in accordance with the dispute resolution provisions outlined in our Terms of Service, including binding arbitration in Jessamine County, Kentucky.
9. Chargebacks and Payment Disputes
If a Client initiates a chargeback or payment dispute with their financial institution without first attempting to resolve the issue directly with Ulmyrex Studio through the refund request process outlined in this policy, Ulmyrex Studio reserves the right to:
- Immediately suspend or terminate all services and work in progress
- Revoke access to all design files, prototypes, and deliverables
- Pursue recovery of all fees owed, including costs associated with disputing the chargeback
- Report the matter to collections agencies and pursue legal remedies as necessary
We strongly encourage clients to contact us directly before initiating any payment dispute. We are committed to fair and transparent communication and will work diligently to address any legitimate concerns.
10. Modifications to This Policy
Ulmyrex Studio reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. The refund terms applicable to your project are those in effect at the time your project proposal was signed. We encourage you to review this policy periodically for any updates. Continued engagement of our services after changes to this policy constitutes acceptance of the modified terms.
